Seats are about simultaneous access, not headcount
This is the single thing people get wrong, and it costs them money. A QuickBooks Desktop licence is sized by how many people need to be working in the company file at the same moment — not by how many people work at the business.
If you have five staff but only you and your bookkeeper ever open QuickBooks, and rarely at the same time, you do not need five seats. If two of you regularly have it open together, two seats is the honest answer.
Work out your real number
Ask three questions:
- Who opens QuickBooks at all? Owners, bookkeepers, an office manager entering invoices. Most small businesses land on one to three people.
- Do they overlap? Someone who enters receipts on Friday afternoons does not overlap with a bookkeeper who reconciles on Mondays. Overlap is what costs a seat.
- Does your accountant need their own access? Many accountants work from a copy you send them rather than in your live file. Ask before you buy them a seat.
Count the peak — the largest number of people who will genuinely be in the file simultaneously on a normal busy day. That is your seat count.
What happens if you get it wrong
Too few seats and someone gets locked out at the wrong moment. QuickBooks will simply refuse the extra connection, and the person waiting has to ring whoever is already in the file.
Too many and you have paid for access nobody uses. There is no monthly refund for an idle seat on a one-time licence — you bought it once.
Between the two, buying slightly under is usually the cheaper mistake, because the fix is available: you can move up a tier later.
Moving up later
If you outgrow your seat count, you do not have to throw away what you bought. Contact us with your order number and we will settle the difference between your tier and the larger one, rather than charging you for a whole new licence.
That is worth knowing before you buy, because it changes the calculation: the risk of starting small is small.
A note on Mac
QuickBooks Desktop Mac Plus is sold as a single-user licence. If you need several people in the file at once on macOS, that is a genuine constraint to plan around rather than a tier you can pick — tell us what you are trying to do and we will say plainly whether it fits.
The short version
Count the people who will be in the file at the same time on a busy day. Buy that many seats. Start lower if you are unsure, because moving up costs the difference and nothing more.
